RONSEAL FILLS THE CRACKS IN ITS PAYROLL WOODWORK WITH PAYRITE®

Ronseal has been synonymous with manufacturing varnishes since the 1950s and has benefited from the growth in the DIY market. In 1997 the company was acquired by Sherwin-Williams, one of the largest coatings companies in the world. Nowadays Ronseal is not only about varnish, it's the market leader in woodcare. With 25 production lines and a complex manufacturing and staffing process, Ronseal decided that it needed to replace its ageing payroll system. In 1999 the company chose Payrite from Rutherford Webb to rationalise their payroll process into a single system with the aim to improve efficiencies and reduce costs.

Why Change?

Before installing Payrite, Ronseal had an inefficient mixture of systems that included a bureau service for the monthly paid staff and an in-house system for the weekly ones. For the monthly staff, payroll had to key in the data and then send it off to the bureau where it was processed then sent back.

Weekly workers were processed separately in-house using a JBA system running on an AS400. This proved to be a very costly and inefficient process, so Ronseal decided to invest in a new payroll system that would be able to handle paying all employees in-house.

One of Payroll Manager Christine Haigh's annual objectives was to find an alternative solution for processing payroll. Christine explains, "Payrite was not the cheapest solution, but it had all the functionality we needed and more, including flexibility to easily cope with our complex requirements."

Handling the complex pay structure

As well as Ronseal branded products the company also makes product lines including Colron, Thompsons, Krylon and Isoflex. With a diverse workforce of 120 weekly and 160 monthly employees and varying pay structures, finding a system that could handle all variations was going to be difficult. Payrite has however been successful in smoothing the whole payroll process. The automation aspects of Payrite mean that previously very complex calculations can now be processed at the click of a mouse button; for instance, employees are given length of service bonuses that are based on net amounts. Payrite efficiently deals with this by calculating the gross to net so that the employee gets the amount he or she is expecting on their pay slip.

The weekly paid workers at Ronseal have a complex pay structure too, which includes basic pay plus various different rates and shift pay. When Ronseal first started running Payrite they were using 200 of the available pay components. Since then things have been simplified somewhat and these components have been whittled down to approximately 100 and 46 departments.

Management information

As part of the new payroll system, Ronseal also wanted to gain better management information with a particular focus on monitoring costs. With the help of Payrite, the company is now able to calculate exactly how much it costs to fill a tin of varnish, by using the cost splitting functionality in the payroll system.

In any one week, an operative may work on seven different production lines with each hour spent on the factory floor attributed to the appropriate department. To handle this situation, Christine has simply set up a department for each production line in Payrite. Now, as the time sheets come in so the hours are allocated to each production line. Christine then runs a weekly report detailing the split costs, which are then loaded into an Excel spreadsheet, so that they are available for comparison and analysis at a later date.

Ronseal does not currently run a computerised HR system but the flexibility of Payrite means that they are able to use data held within the system for HR purposes. For instance, Christine can run a report detailing employee ages, names and addresses.

Everyday support

On the support side, Christine is very enthusiastic, "If I ever do have a problem with Payrite, the helpdesk is very supportive. They are very friendly and approachable and really understand the system. If the worst happens, and it looks like we are going to miss a BACS deadline, Rutherford Webb can send the information on our behalf." This almost happened when Christine's modem wasn't working. Staff from Rutherford Webb stayed by the phone to talk Christine through the technical glitch, and eventually at seven o'clock in the evening the information was sent and the deadline met.

Christine continues, "Payrite is very user friendly, it even tells you when you make a mistake. And it gives advice, like which form to fill in if you have a missing National Insurance number. The P45 checker even works out the correct tax for you."
